Overview

Under the direction of a Project Supervisor and/or Director of Operations, the project manager is responsible for all stages of projects including planning, design, execution, budget, and follow-up analysis. This person is responsible for project monitoring, quality assurance testing, and team collaboration to ensure the achievement the client’s objectives.

Responsibilities

Execution

 

  • Develops accurate project estimates and project plans
  • Effectively prepares scopes and scopes changes for Interactive projects, working with  team on scheduling and resource budgets
  • Leads the requirements gathering from the client and obtains digital materials/assets required for design implementation
  • Develops and maintains critical issues documents.
  • Develops solutions to mitigate project risks and obstacles
  • Conducts timely project status meetings so the team can be kept informed
  • Ensures that creative projects are delivered on time and within budget parameters
  • Prepares all scope change documentation for client’s approval
  • Prepares functional specifications with the developers
  • Accountable for the overall high quality of assigned deliverables
  • Demonstrates ability to effectively prioritize jobs to meet all client commitments
  • Identifies opportunities to streamline processes and create efficiencies
  • Maintains complete files for active and completed jobs (which includes purging of files, samples, sample books)
  • Ensures queries are answered and clearly marked eliminating wasted rounds

  • Champions compliance and persistency and the customer experience as strategic objectives to drive the projects
  • Demonstrates working knowledge of therapeutic/clinical information of the brand
  • Demonstrates working knowledge of legal guidelines and HIPAA compliance
  • Utilizes solid understanding of the digital marketing and advertising landscapes, spotting emerging trends and technologies and using them to push the quality of the interactive media

 

Creativity

 

  • Ensures that account and client feedback are clearly translated into creative efforts
  • Learns to evaluate creative work prior to client submission. If concept does not support strategy, brings to Account Group's attention

 

 

Leadership/Organization Management

 

  • Effectively organizes and communicates relevant data to others in a concise manner, drilling down concepts into relevant detail
  • Taps into and maximizes internal resources
  • Anticipates both internal and client needs in the course of ensuring accurate and timely delivery of projects
  • Upholds Beacon Agency values and policies promoting a positive culture within the organization
  • Demonstrates passion for the brands and our work

 

 

Internal Communications

 

  • Coordinates the day-to-day collaboration among account, copy, art, developers and coordinators to fulfills client requests
  • Meets with supervisor regularly to discuss opportunities and issues relating to programming, work flow, client expectations, and Beacon internal matters
  • Understands/respects the roles of different Beacon departments
  • Actively participates in internal meetings sharing knowledge for everyone’s benefit
  • Works collaboratively with coworkers and arbitrates conflicts to find genuine, mutually agreeable solutions to cross-functional issues
  • Displays self-motivated work ethic and commitment to Beacon processes and policies
  • In meetings, controls focus of dialog to keep meetings moving efficiently

 

Client Relations

 

  • Client facing lead on production related topics including production schedules and critical milestones
  • Writes organized, complete, accurate, and concise contact reports, status reports, cover letters, etc.
  • Manages client expectations to deliver all necessary and critical functionality and ensure high client satisfaction with the process and the final product
  • Has an intimate understanding of the client processes and priorities

 

Financial Responsibilities

 

  • Accurately estimates projects, scheduling and budgets
  • Works at a high level with project management tools specifically Webvantage/Proof HQ
  • Actively manages forecast to ensure targets are met and management is apprised of any changes
  • Consistently works and legitimately reports 2000 billable hours per year, even when simultaneously involved in non-billable new business/corporate projects
  • Follows Beacon policies designed to manage expenses (use of supplies, etc.)


Business Development

 

  • Assists supervisor in the development of new business plans for potential clients as needed
  • Supports the departmental increase of continual organic growth

  • Ability to develop and manage multiple campaigns in parallel

Computer Equipment and Software Requirements

  • PC platform
  • MS Office tools: Word, Excel, PowerPoint skills

Education and Experience

  • BS/BA degree or equivalent
  • 1-5 yrs  experience of project management experience in ad agency environment
